Receive an initial proposal
We review your requirements, ask any important questions and provide an initial journey concept and indicative estimate. This is a high-level proposal, not the full detailed itinerary.
Begin detailed planning
If you would like to proceed, we confirm a planning fee based on the length, complexity and amount of work required for your journey. Once the planning fee is paid, detailed itinerary design begins.
Review your tailor-made itinerary
We present your accommodation, experiences, private touring, guides, transport and logistics as one carefully coordinated journey. We then refine the agreed details with you.
Choose your Concierge Support
For added peace of mind, personalised on-call concierge support can be arranged throughout your time in New Zealand, assisting with changes, recommendations, reservations and unexpected situations as they arise.
Confirm your journey
Once you are happy with the full detailed programme, the booking deposit is paid. We then begin confirming and securing the approved accommodation, experiences, private transport and other arrangements, subject to availability and supplier confirmation.
Prepare to travel
The final balance is due 60 days before travel. After final payment we complete final confirmations and provide the guest with their confirmed journey documentation and contact information.

Planning Fees & Payment
Transparent Payment Stages
Planning Fee
Payable before itinerary design begins. Non-refundable once planning commences, and credited in full towards your booking fee when you confirm your journey.
Booking Deposit
A 30% non-refundable deposit secures your dates, lodges and private touring resources — less any Planning Fee already credited.
Final Balance
The balance is due 60 days before travel, by the date stated in your Booking Confirmation. All amounts are in New Zealand dollars.

For an additional fee, a named staff member is on call across your itinerary — from your first airport pickup through to final departure. Early arrivals, evening dinner service and urgent next-day changes are one direct line away, scoped to your journey hours.
